Send Sublet Work Lists to Your Vendors
Body shops, detail companies and parts suppliers work to their own schedules. Vendor email sends them the list of vehicles waiting on them and records on each vehicle that you did.
How vendor email works
- On the dashboard, viewing a single dealership, choose Email Vendor.
- Enter the vendor's name and email address.
- Pick the statuses to include, for example everything in Body Shop.
- Vehicle Recon Tracker emails the vendor a list of those vehicles and adds an audit note to every vehicle on it.
The email lists each vehicle's stock number, description, status, source, the date it was added and how many days it has been in the system, along with its most recent notes. Notes go to the vendor, so write them with that in mind. The vendor doesn't need an account; it arrives as an ordinary email.
Who can send vendor email is set per role in the permission matrix.
Keep track of vehicles while they're out
- Give each sublet stage its own status, such as Body Shop, so the dashboard shows what's out and for how long.
- Vehicles are sorted oldest first within each status, with color-coded age warnings at 7 and 14 days.
- Reports show the average time vehicles spend in each status, including the ones waiting on a vendor.
- Timestamped notes keep quotes and promised dates on the vehicle instead of in someone's texts.
- Photograph damage before a vehicle goes out and the finished work when it comes back. Photos attach to the vehicle with captions and a record of who added them.
A record of every send
Each vendor email adds an audit note to every vehicle it listed. When someone asks whether the body shop was told about a car, the answer is in that vehicle's history, next to its status changes and notes.
